WhatsApp for salons: how to handle price questions, booking requests and seasonal offers

How beauty salons and barber shops run their WhatsApp with ATMET Chat, with an AI that answers from the price list, keyword replies, seasonal offers from an Excel file and one inbox for the team.

This article is for owners of beauty salons and barber shops who get the same questions on WhatsApp every day: How much is a haircut? When are you open? Do you have a slot on Thursday evening? It explains how ATMET Chat helps: an AI that answers from your price list, keyword auto-replies, offers to your regular clients from an Excel file, and one inbox for your team. It also says plainly what ATMET Chat doesn't do.

Why does a salon's WhatsApp get so busy?

Salon clients ask before they come in: the price of a haircut or a beard trim, of a colour or a styling, your hours, your location, whether they can book on a certain day. Many of these questions repeat in almost the same words, and the answers are already on your price list.

The trouble is that whoever answers the phone usually works in the salon too: the barber, or the stylist mid-appointment. Either the client waits, or the work stops for a reply. After closing, messages wait until the next day. And price questions get mixed up with booking requests, so some get lost.

ATMET Chat takes the repetitive part off your hands and leaves your team what needs a person: confirming an appointment, handling a complaint, or a question your files don't answer. These uses are summed up on the Salons card on the ATMET Chat for Business page, each marked with the plan it starts on.

How does the AI answer from the salon's price list?

From the Pro plan, you upload your salon's files to the knowledge base: your services and prices, service descriptions, and anything clients should know before they come. It takes PDFs, images, videos and text, so if your price list is an image, upload the image.

The AI then answers your clients from these files around the clock, in their own dialect. A client asks after midnight "How much is a keratin treatment?" and gets the answer from your own list.

For accurate answers, keep your file clear:

  • Every service and its price: if a service has more than one price, by hair length for example, write each one out.
  • Hours and location: working days and hours, your address, and any seasonal changes.
  • How booking works: if you write, for example, that reception confirms bookings once the client sends the service and a time that suits them, the AI says so when someone asks "How do I book?".

When a chat needs a person, such as a complaint about a service, a refund request, or a question your files don't answer, the AI stops, hands the chat to your team, and you get an alert with the reason. This smart escalation comes with the Pro plan.

If your number has been on WhatsApp for a while, "Learn from your chats" helps you start, from the Pro plan. When you connect the number, ATMET Chat reads its recent chats once, drafts the AI's instructions for the fields you left empty, then deletes those chats. It never changes text you wrote.

What if a client sends a photo of the cut or style they want?

A client might send a photo of a cut they saw, or a style they want for an occasion, and ask: Can you do this? How much?

Understanding the photos clients send, and their voice notes, is a separate feature that starts on the Ultra plan, and it stays off until you switch it on in the AI settings. Once it's on, the AI understands the photo and replies from your services. Voice notes work the same way.

Don't mix up two different things:

  • What you upload: your price list and files in the knowledge base. The AI answers from them from the Pro plan.
  • What the client sends: a photo or voice note in the chat. Understanding it needs the Ultra plan with the feature switched on.

While the feature is off, the photo stays in the chat in your inbox for your team to answer.

What happens to booking requests?

ATMET Chat isn't an appointment booking system. It has no calendar, doesn't confirm bookings automatically, and doesn't send reminders before an appointment. A booking request arrives as an ordinary chat in your inbox, and a person on your team replies and confirms it, as you do today on your phone, but from one place the whole team sees.

To make booking requests easier:

  • Write how booking works in the salon's file: if you use the AI, it answers anyone who asks how to book.
  • Create a keyword reply for "book": it asks the client for the service, day and time they want, and says the team will reply to confirm.
  • Assign, label and note: assign booking chats to your receptionist or a team, label them "Booking", and leave internal notes, such as the stylist a client prefers, that only your team sees.

How do keyword auto-replies work?

From the Plus plan, even without the AI, you write a keyword and a ready reply. When a client's message contains the word, the reply goes out at once. Examples for a salon:

  • "location": the address and a short note on how to get there.
  • "hours": working days and hours, and seasonal hours if they differ.
  • "prices": the prices of your main services.
  • "book": how to ask for an appointment, and who replies to confirm it.

Keyword replies are text only, with no buttons or lists. Write the full reply, short enough that the client doesn't need to ask again.

How do you send seasonal and Eid offers to your regular clients?

Every salon has clients who come back, and before Eid, the wedding season or summer you may have an offer for them. From the Plus plan, you send it as a WhatsApp campaign from an Excel or CSV file:

  1. Prepare a file of the clients who agreed to hear from you, with their names.
  2. Upload it, and confirm their consent when the import asks.
  3. Choose a Meta-approved template. Each message is filled in with that person's details from the file, such as their name.
  4. Send the campaign yourself, when you choose.

Before your first campaign:

  • Campaigns go out over the official connection only. If your number is linked only through the ATMET Chat channels, you need the official connection too; you can use both.
  • Meta's fees and daily limit. Meta charges for each campaign message and sets how many people you can reach a day, for your business portfolio on Meta. ATMET Chat adds no commission on Meta's fees.
  • Consent comes first. Don't upload every number saved on the salon's phone, only clients who agreed.

Reminding clients of something, such as your Eid offer ending soon, is also a campaign you send by hand, not an automatic reminder. More in the WhatsApp marketing campaigns guide.

How does the salon's team work from one inbox?

From the Plus plan, every WhatsApp chat of the salon is in one place, and your team replies from the salon's own number. In the inbox you can:

  • Assign chats to a person or a whole team, such as reception.
  • Leave internal notes that only your team sees.
  • Close a chat when it's done; if the client writes again, it reopens.
  • Use your own labels, such as "Booking" or "Complaint", on every plan.

From the Pro plan, with the AI, chats carry ATMET Chat's status labels automatically.

The Ultra plan adds three team features:

  • AI labelling: it reads the chat and applies the label of yours that fits.
  • Automatic hand-off: the chat goes to the right teammate.
  • Team performance stats: the owner sees each teammate's reply speed and chats handled.

How do you connect the salon's number to ATMET Chat?

Every plan has two ways to connect, and you can use both:

  • The official connection (WhatsApp API) from Meta: the one campaigns go out over.
  • The ATMET Chat channels: a QR-code link, with no message fees.

If the salon's number is on the WhatsApp Business app, it keeps working on the phone with the same number.

On the official connection, a 24-hour customer service window opens when a client messages you, and inside it you reply freely. A message you start outside that window needs a Meta-approved template. Since October 1, 2026, Meta charges for customer-service replies beyond the first 1,000 a month per number on the official connection; on the ATMET Chat channels there are no message fees.

Which plan suits your salon?

The three plans nest, each with everything in the one before:

  • Plus, 99 SAR a month: the team inbox, keyword replies and campaigns from an Excel file.
  • Pro, 199 SAR a month: adds the AI that answers from your price list and files, smart escalation, and "Learn from your chats".
  • Ultra, 249 SAR a month: adds understanding clients' photos and voice notes once switched on in the AI settings, AI labelling, automatic hand-off and team stats, and custom workflows you build yourself (Beta).

You start with a free 14-day trial: no card, every feature of every plan open, nothing charged automatically. To continue, choose a plan on the Account page of your dashboard and pay by card (mada, Visa or Mastercard) or Apple Pay. A yearly plan is 12 months for the price of 11. Details on the plans and pricing page.

How do you get started with your salon's WhatsApp?

  1. Connect the number: official connection, ATMET Chat channels, or both.
  2. Set up replies: upload your price list to the knowledge base, or write keyword replies for your most common questions.
  3. Organise the team: decide who answers which chats, and agree on a label for booking requests.
  4. Prepare a file of consenting clients: ready for your first seasonal offer.

ATMET Chat answers the repetitive questions, your team confirms bookings, and your offers reach clients when you choose. For salon uses and the plan each starts on, see the Salons card.

Frequently Asked Questions

Does ATMET Chat book appointments for my salon automatically?

No. ATMET Chat isn't a booking system. A booking request arrives as a chat in your inbox, and a person on your team replies and confirms it. Nor does it send an automatic appointment reminder, since it doesn't know the salon's appointments.

Does the AI understand a photo of the cut or style a client sends?

Yes, from the Ultra plan, and the feature stays off until you switch it on in the AI settings. The price list you upload yourself is different, and the AI answers from it from the Pro plan.

Can I send my Eid offer to every number saved on the salon's phone?

No. A campaign goes only to people who agreed to hear from you, and the import asks you to confirm their consent. It goes out over the official connection on a Meta-approved template, and Meta charges for each message.

Will the salon's WhatsApp keep working on my phone after I connect it?

If the salon's number is on the WhatsApp Business app, it keeps working on the phone with the same number.

Can I try ATMET Chat before paying?

Yes. The trial is free for 14 days with no card, every feature of every plan is open, and nothing is charged automatically.
