WhatsApp for real estate: how to answer every enquiry and hand it to your sales team

A guide for real estate offices, brokers and developers' sales teams to AI that answers from your project brochures, keyword replies, campaigns from an Excel file, and assigning chats to your agents.
This article is for real estate offices, brokers and developers' sales teams: any business that gets many enquiries about units on WhatsApp and has a sales team following them up. It covers what ATMET Chat does for you: AI that answers from the project files you upload, keyword replies, campaigns from an Excel file to people who agreed to hear from you, and one inbox where you assign every enquiry to an agent. Each feature names the plan it starts on, and we cover what ATMET Chat doesn't do. A short summary is on the real estate card on the business page.
What reaches a real estate office's WhatsApp?
When someone sees an ad for a unit or hears about a new project, they may message the office's number. The questions circle the same things: How big is the unit? What does it cost? Where is the project? Is it for sale or for rent? Then come viewing requests, questions about other units, and customers who asked a while ago and want to pick up again.
Some of these your files already answer: sizes, prices, locations and floor plans. Others need someone on your team: a viewing request, details the files don't cover, or a customer's complaint. With ATMET Chat, the AI and ready replies handle the first kind, and the second reaches an agent in one inbox the whole team sees, instead of being scattered across the team's phones.
How do you connect the office's number to ATMET Chat?
Every plan has two ways to connect your number, and you can use both: the official connection (WhatsApp API, from Meta), or the ATMET Chat channels, a link made with a QR code. If the office's number is on the WhatsApp Business app, it keeps working on the phone with the same number.
The important difference is Meta's fees. Since October 1, 2026, Meta charges for customer-service replies beyond the first 1,000 a month per number on the official connection; on the ATMET Chat channels there are no message fees.
The official connection has one more rule: when a customer messages you, a 24-hour customer-service window opens, and inside it you reply freely. A message you start outside that window needs a Meta-approved template. And campaigns from an Excel file go out over the official connection only, so if you plan to announce projects by campaign, choose it, or use both.
How does the AI answer from your project files?
From the Pro plan, you upload your files to the knowledge base: project brochures as PDFs, floor plans, photos of units, project videos, and text you write yourself. The AI answers customers' questions from them, around the clock, in the customer's own dialect.
So a customer who writes late at night "How big is the flat?" gets the answer from your files without waiting for the office to open, and your team stops repeating the same answer.
Because the answers come from your files, keep them accurate: when a price changes or a unit is sold, make sure the uploaded files are up to date. Whatever your files don't answer, the AI hands to your team.
The Pro plan also includes Learn from your chats: when you connect your number, ATMET Chat reads its recent chats once, writes a draft of the AI's instructions for the fields you left empty, then deletes those chats. It never changes text you wrote.
When does the AI hand a chat to your team?
When a chat needs a person, such as a customer's complaint or a question your files don't answer, the AI stops and hands the chat to the team, and you get an alert with the reason. This smart escalation starts on the Pro plan. The chat stays in the inbox, where an agent picks it up.
A viewing request arrives in the inbox as a chat like any other. An agent on your team replies, agrees the time with the customer and confirms it. ATMET Chat has no booking system and no calendar; the arrangement happens inside the chat.
What are keyword auto-replies?
From the Plus plan, you write a keyword and a ready reply. When a customer's message contains that word, the reply goes out at once, even without the AI. A real estate office might set:
- "location": the office's address and how to get there.
- "hours": the office's working days and hours.
- "projects": a short list of your current projects, which you write and update yourself.
The replies are text only, with no buttons or lists. They come with the first plan, before you need the AI.
How do you assign chats to your sales team yourself?
The inbox comes with the Plus plan: every WhatsApp chat of the office in one place, with your team replying on the office's own number. The customer deals with the office, not one agent's phone, and the chat stays in the inbox whoever follows it up.
- Assignment: assign each chat to someone on your team or to a whole team, such as sales or rentals.
- Internal notes: an agent leaves a note only the team sees, such as the district the customer wants or the budget they mentioned, so a colleague who takes over finds it.
- Labels: add your own labels, such as "buy", "rent" or a project's name; this is on every plan.
- Closing: close a chat when it's done; if the customer writes again, it reopens.
From the Pro plan, with the AI running, chats also carry ATMET Chat's status labels automatically.
When does the AI hand out chats by itself?
As the team grows, assigning chats by hand becomes a job of its own. The Ultra plan has three features for that:
- AI labelling: the AI reads the conversation and applies the fitting label from your own, so a buyer's chat gets "buy" and a renter's gets "rent".
- Automatic hand-off: ATMET Chat hands each chat to the right teammate, instead of the enquiry waiting for someone to pass it on.
- Team performance stats: you, as owner or sales manager, see each agent's reply speed and how many chats they handled. If one agent's replies lag, you know where to rebalance the work.
How do you send a campaign to your leads from an Excel file?
From the Plus plan, you upload an Excel or CSV file of customers who agreed to hear from you, and the import asks you to confirm their consent. Then you send them a WhatsApp campaign on a Meta-approved template, each message filled in with that person's details from the file, such as their name. It helps when you launch a new project or have units to rent.
Campaigns go out over the official connection only. Meta charges for each campaign message and sets how many people you can reach a day, and ATMET Chat adds no commission on Meta's fees.
A reminder in ATMET Chat is a campaign you send yourself to a list, when you choose. No reminder goes out on its own, and an automatic follow-up days after a customer asked is only possible through a workflow (Beta) you build yourself on the Ultra plan, with a wait step before the message.
What doesn't ATMET Chat do for a real estate office?
Know the limits before you build your team's routine around it:
- It doesn't book viewings: no booking system, no calendar, no automatic confirmation. An agent arranges the viewing in the chat.
- It doesn't remind anyone of viewings: it doesn't know your appointments. You send campaigns yourself, and an automatic follow-up is only possible through a workflow (Beta) you build yourself on the Ultra plan, with a wait step before the message.
- It doesn't read customers' photos unless you switch it on: understanding photos and voice notes a customer sends is on the Ultra plan, and stays off until you switch it on in the AI settings. That is separate from the project files you upload.
- It keeps no customer record outside the inbox: what stays is the chat itself, its labels, the team's notes and who it is assigned to.
Which plan suits your real estate office?
The plans nest: each one has everything in the one before it.
- Plus, 99 SAR a month: the team inbox, assigning by hand, notes and labels, keyword replies, and campaigns from an Excel file.
- Pro, 199 SAR a month: adds the AI that answers from your project files, smart escalation, and Learn from your chats.
- Ultra, 249 SAR a month: adds AI labelling, automatic hand-off, team performance stats, and understanding customers' photos and voice notes, and custom workflows you build yourself (Beta).
To organise chats and announce projects, the first plan is enough. If questions about sizes, prices and locations take your team's time, you need the AI on the second. If handing out chats has become daily work, the third does it for you. A yearly plan is 12 months for the price of 11; details are on the plans page.

Frequently Asked Questions
Does ATMET Chat book property viewings?
No, it has no booking system and no calendar. A viewing request arrives as a chat in your inbox, and an agent on your team agrees the time with the customer and confirms it.
Can the AI answer from our project brochures and floor plans?
Yes, from the Pro plan. You upload PDFs, images, videos and text, the AI answers customers from them, and it hands to your team whatever the files don't answer.
Can I announce a new project to every number in my Excel file?
Only to people who agreed to hear from you; the import asks you to confirm their consent. It goes out over the official connection on a Meta-approved template, and Meta charges for each message.
Does ATMET Chat hand chats to agents automatically?
On the Ultra plan, yes. The AI hands each chat to the right teammate and applies your labels such as "buy" or "rent", and you see each agent's reply speed. On the Plus plan, you assign chats yourself.
Does the AI understand photos a customer sends?
Yes, along with voice notes, from the Ultra plan, once you switch it on in the AI settings. The project files you upload are the knowledge base, which starts on the Pro plan.
